Why costs get confusing quickly

Different trades invoice at different times, in different formats, with different payment terms. Advance payments arrive before work is complete; final invoices come months later. Without a clear record, you lose track of what is paid, what is outstanding, and what is overdue.

The four budget categories

  • Labour – all contractors, including travel and hourly surcharges
  • Materials – sometimes bundled in quotes, sometimes invoiced separately
  • Planning – architect, structural engineer, permits
  • Contingency – 10–20 % of the total budget for unexpected issues

Early payment discounts: easy savings

Example calculation

Many invoices include a 2 % discount for payment within 14 days. On a €50,000 project, that is €1,000 left on the table if you miss the deadline. Worth tracking.
